Operations Manager - Hart School of Hospitality, Sport & Recreation Management

 

The Hart School of Hospitality, Sport, & Recreation Management at James Madison University is seeking a full-time administrative professional to provide administrative support. The Administrative Assistant represents James Madison University in all interactions and must exhibit high standards of professionalism and customer service.

The Hart School is an affiliate academic unit in the College of Business. The Hart School serves approximately 1,000 students in both Sport & Recreation Management and Hospitality Management along with a Sport & Recreation Leadership program with more than 40 students at the Master’s level. Duties and Responsibilities:

 

Administratively support the Hart School and its Director:

  • Supervise and manage the operation of the school to include screening visitors, phone calls and emails and responding to routine inquiries
  • Keep school calendar and assist with the coordination of Hart School events
  • Compose and edit relevant school communication to include emails, newsletters, etc.
  • Take minutes at periodic faculty and committee meetings
  • Maintain and assist with departmental reports, records and files
  • Oversee and maintain Hart School reporting, including all accreditation reports
  • Collect and distribute confidential material relating to faculty evaluations, tenure and promotion
  • Organize the course and teacher evaluation process for the Hart School
  • Input academic schedules into Student Administration
  • Communicate with COB Marketing for website updates

 

Fiscal Support:

  • Manage Hart School State and Foundation accounts
  • Provide procurement services via SPCC (Small Purchase Credit Card) and eVA (a web-based state-required procurement tool)
  • Process reimbursements to include expenses related with faculty and student travel, as well as those related with hosting guests

 

Office-specific Support:

  • Maintain department supply inventory
  • Oversee departmental mail and email and distribute appropriately
  • Serve as the Hart School building coordinator
  • Submit maintenance and key order requests
  • Reserve classroom space in event management software system (EMS)

 

Student Support:

  • Provide Graduate Assistant and Student Assistant scheduling, collect and verify timesheets, orient students upon hiring and provide oversight.
  • Assist Professional Development and Employer Relations Coordinator with graduation events or other events as needed
  • Communicate to students on behalf of the Hart School as appropriate
  • Provide student overrides each academic semester as directed by the academic advisor

 

Recruiting Support:

  • Serve as the primary coordination point for new faculty and staff recruiting searches and hiring
  • Monitor applications received on JobLink, copy and distribute to search committee as requested, and ensure timely completion of appropriate forms
  • Make logistical arrangements for interviewing candidates
  • Follow hiring processes and finalize faculty, staff and student hiring
  • Initiate paperwork related to hiring adjuncts and supervisors for the Hart School


Perform other duties as assigned.

 

Required Qualifications:

Excellent communication skills with the ability to interact effectively and professionally with multiple customer bases in person, over the phone, and via email.

Must be self-directed and able to complete multiple projects with limited supervision.

Ability to work independently as well as part of a team, including the ability to interact easily with diverse groups and a variety of individuals.

Good judgement and decision-making skills.

Exceptional organization skills and ability to be flexible.

Ability to balance, prioritize, and complete multiple tasks with limited supervision.

Exceptional attention to detail, accuracy, and ability to work in a fast-paced and multidimensional environment.

Strong interpersonal and listening skills.

Fluency in the Window computer operating environment and Microsoft Office Suite products, including the ability to create and manage Excel spreadsheets and knowledge of e-mail, scheduling and spreadsheets.

Ability to manage the Academic Unit Head and Assistant Academic Unit Head calendar(s).

Ability to demonstrate professionalism and maintain confidentiality.

 

Preferred Qualifications:

Previous related experience, preferably in a higher education setting or state agency in Virginia.

Preferred experience with the following PeopleSoft systems: Student Administration, EMS, eVA, Finance, Chrome River, SPCC and AiM.
