QUALITY AND PROCESS ANALYST
Hiring Salary Range: $49,000 - $91,900 /year
Under general supervision of the Work Management Manager, the Quality and Process Analyst will coordinate the development, implementation, training and tracking of Standard Operating Procedures (SOPs) relating to department workflow for each functional area of Facilities Management (FM), including: Building Maintenance & Repair, Custodial Services, Grounds & Landscape Services, Central Utilities Plant, and Campus-wide Infrastructure. Lead cross-functional teams responsible for defining and developing new ideas to improve FM's overall productivity and quality. Facilitate an operational structure and procedures that enables the FM team to produce the highest quality product through employee involvement in decision making and problem solving, removal of barriers to performance, and commitment to FM goals.
Coordinate with FM Leadership and other resource groups to support activities that constantly improve performance. Provide analysis of quality control data such as metrics/benchmark results, Quick-Look Surveys, FM Annual Client Satisfaction Survey, Maximo data, customer complaints, and budgetary concerns to address problems and coordinate in-house work. Actively participate in production/quality activities and serve as the liaison to FM staff acting in a consulting role for any quality and production issues. Prepare a wide variety of reports for measuring operational and business efficiency, as well as improvement. Compile, review and analyze statistical data to detect data trends. Make recommendations based on data analysis to the Work Management Manager to improve performance, workflow efficiency and operations.
Provide technical support for FM's Maximo system, including user setup and maintenance, password resetting, setup and configuration of Start Center portlets, and screen modifications. Troubleshoot and resolve standard technical and functional issues. Collaborate with IT to troubleshoot and resolve complex technical and functional issues. Provide communication to FM regarding changes, updates and upgrades to Maximo systems. Provide training as necessary to help end-user's interactions with systems. Recommend measures in Maximo to improve reliability, accountability, quality, performance, work conditions and safety, and increase efficiency of the department using a team approach. Advise FM operations on correct procedures and processes to improve productivity with confines of Maximo. Apply professional concepts to conduct analytical studies or projects of moderate scope and complexity to address a variety of policy, research and procedural issues. Fully analyze issues and problem, gather data and information, find and evaluate alternatives and make sound recommendations.
• May need to work evening or weekend hours as operationally necessary.
QUALIFICATIONS
• Graduation from college with a major in business administration, economics, statistics, educational administration, political science, or an allied field, and progressive professional experience in administrative analysis or operations research; or an equivalent combination of education and experience.
• Demonstrated experience planning, organizing, coordinating and supporting all aspects of a production/quality assurance program in a facilities environment.
• Experience with Computerized Maintenance Management System (CMMS) system administration and functionality including setting up users, authorization to specific applications, resetting passwords, configuring Start Centers, setting up preventative maintenance jobs, collecting, cleaning and loading asset data, etc. Ability to analyze end-user issues and follow through to resolution.
• Proven experience creating and maintaining SQL queries in the Maximo application and other database tools.
• Demonstrated ability to analyze, research and synthesize large amounts of data with strong attention to detail. Ability to query and extract accurate and useful information from computerized databases and other sources, conduct analyses and prepare proposals and reports. Ability to analyze data and to develop a plan to improve trends and results.
• Experience automating and/or streamlining business processes and/or experience in working with structured workflow in a business environment. Experience initiating and facilitating process improvement efforts. Working knowledge of applicable policy analysis techniques.
• Working knowledge of common computer application programs. Experienced user of standard computer systems and applications including Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe, database management programs, and web based applications. Experience with basic database structures.
• Proven ability to train staff and hold informational sessions on topics to include Maximo workflows, process changes/developments and correcting user mistakes.
• Strong skills to effectively provide internal customer support in a large department. Ability to provide excellent customer service and interact in a positive manner with diverse groups of people.
• Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing. Strong written and verbal communication skills with the ability to understand and follow verbal and written instructions. Ability to articulate in a professional manner and the ability to prepare accurate, concise, and clear written reports.
• Excellent interpersonal skills including tact, diplomacy and flexibility in working with a diverse population of staff and students. Ability to work with various management systems and a variety of skilled/unskilled, professional, administrative, and industry personnel.
PREFERRED QUALIFICATIONS
• Experience working with CMMS/Maximo version 6.25 and above preferred.
• Experience with the Lean Six Sigma process and analysis preferred.
